REPAIR Information

You will be asked a variety of questions (listed below) and you will need to have the answers before you call the Telecommunications Department.


ANY NON-DORMITORY REPAIR

All other telephone repairs should be called to 346-3198. Read the Trouble Shooting Section below to determine of you can correct the problem. Please read the following questions and determine responses before you make your call.

  1. CONTACT:
    • Name of the departmental telephone coordinator who is calling in the repair order
  2. EXTENSION OF CONTACT:
    • Phone number to reach the coordinator back (if we need further information, or we need to have the coordinator go to the room and try another set or to remove features which the user is inadvertantly activated.
  3. EXTENSION WHICH IS IN NEED OF REPAIR:
    • The phone number which is having problems.
  4. USER NAME OF THIS EXTENSION:
    • The name of the individual or group who uses this extension.
  5. DEPARTMENT ASSOCIATED WITH EXTENSION:
    • Name of your department, this will help us locate information in some of our records regarding problems related to special features or problems related to current or past work orders.
  6. BUILDING THE EXTENSION IS LOCATED IN:
    • Name of the building, unless it is off the main campus, then we would also like the physical street address. Please remember that there is a Condon Hall and the old Condon Elementry School (which is now called Agate Hall). A number of buildings on this campus have been renamed several times and we need the most current name. I will refer you back to Keith Richards, Archives, 346-3077 for further information on history of the UO.
  7. ROOM NUMBER:
    • Please give us a location of where to find the extension. Accounting in Business Affairs in room 122 of Oregon Hall has over 60 phones. We really need to have as much information as possible to find the right set.
  8. JACK NUMBER:
    • Many of the buildings on campus have been rewired to OSSHE specifications and the jacks are wired all the way back to the switchroom at Oregon Hall. That jack number helps the technicians trace the problem from the switchroom to the given jack.
  9. TYPE OF SET OR EQUIPMENT ON THE EXTENSION:
    • Do you have a Digital Set provided by the UO Telecom. Department?
    • Do you have a black tap set or a wall set provided by the UO Telecom. Department?
    • Do you have a set, modem, fax, or other equipment which you or the department owns on the line?
  10. DESCRIPTION OF TROUBLE:
    • Please be more specific than "IT DOESN'T WORK". See Trouble Shooting below.


TROUBLE SHOOTING SECTION:

Is it a DIGITAL SET provided by the UO Telecom. Department?

  1. DO NOT TRY TO SWAP DIGITAL SETS-LEAVE SET IN PLACE AND TECHNICIAN WILL MOVE OR REPLACE IT.
  2. Has the electric power been off in the building? Has there been a power surge?
  3. Is the digital display working? Check to see if the ON/OFF button has accidentally been pressed.
  4. Do the line buttons (and the associated lights) on the body of the set work?
  5. Is the set plugged into it's appropriate jack?
  6. Examine the mounting cord (the one from the set to the jack), has it been damaged? Look at the clips at both ends, are either one of those items damaged? Someone may have accidentally pulled the mounting cord loose or vacuumed it to death.
  7. Are all the cords plugged firmly into each modular unit or is anything loose or wobbly (ie. defect in the set)?
  8. Has there been an accident? Drinks, water and other agents (including cleaning agents) can and will affect phone sets. Dropping the set on the floor also makes a real impact on how it works.


Is it a SINGLE LINE SET or a WALL SET provided by the UO Telecom. Department?

  1. Is the set plugged into it's appropriate jack?
  2. Examine the mounting cord (the one from the set to the jack), has it been damaged? Look at the clips at both ends, are either one of those items damaged? Someone may have accidentally pulled at the mounting cord loose or vacuumed it to death.
  3. Are all at the cords plugged firmly into each modular unit or is anything loose or wobbly (ie. defect in at the set)?
  4. Has there been an accident? Drinks, water and other agents (including cleaning agents) can and will affect phone sets. Dropping at the set on at the floor also makes a real impact on how it works.
  5. Have you taken this set to another location to see if it works on another line?
  6. Have you brought another set (from an extension you know works) and plugged it into at the extension to see of at the problem involves at the line or proves at the set is defective?

Is at the SET, MODEM, FAX OR OTHER EQUIPMENT something that your department or user owns? If so, have you removed this equipment and tried a standard UO set to determine if your own equipment is defective?

Make Sure your Answering Machine is Compatible with Distinctive Ringing

University telephone lines are now programmed to ring differently depending on whether or not the incoming call originates from on or off campus. On-campus calls have a single ring alert, whereas off-campus calls will have a special double ring.

If you have an older answering machine, you should place a test call from an off-campus phone, either by having a friend or family member call you, or you may call yourself from a payphone. Some answering machines are not able to recognize the double ring, and will not pick up.

If this happens, you have the following three options:

1. Call Telecom Services, 6-3198, and we will remove the distinctive ring from your line immediately

2. Sign up for voice mail

3. Buy a newer answering machine

Is there DIAL TONE, a SIREN TONE or no sound at all?

  1. If you get Dial Tone, can you call out?
  2. Does one of at the number buttons sound sour or "off tone"?
  3. When someone calls at the extension do they get an answer, a busy signal or does their call go along at the coverage path?
  4. If at the user can not get calls, have you checked to see if at the user has accidentally activated a special feature (such as Call Forwarding or Send All Calls to coverage)?

OTHER QUESTIONS:

  1. Are you aware of anyone (users, Telecom. Technicians, Network Services, outside vendors/contractors) who are or have been in at the Telephone equipment closet lately?
  2. Are you aware of any Natuaral disaster in the area/building? ie. flooding, power outage, etc.
